Vaultin Book a demo

For law, accounting and advisory firms

Use AI on client work. Keep client identities inside your firm.

Vaultin is an AI chat for client work and client documents. Names, numbers and references are swapped for placeholders on your computer before anything is sent, and put back before you read the answer.

Vault in. Nothing out.

You type

“Ms Collins” and “Sarah” are one person, so they share one placeholder. Every conversation has this switch.

The problem

AI saves real time, but client details make it risky

Staff use it anyway

Often on personal accounts, and nobody knows what client information has gone out.

The firm bans it

Confidentiality is safe, but the time savings are lost while other firms move ahead.

Names are removed by hand

Before every prompt and every document. Slow, inconsistent, and one slip is enough.

Vaultin removes that trade-off: staff work with real client material, including whole documents, the protection happens automatically, and the firm keeps a record it can show.

How it works

Only anonymised text leaves your computer

A normal AI chat, with four things underneath: identities stay with you, one workspace per client, questions answered from your documents, and a record of every request.

Your computer

Your data, in one encrypted fileChats, documents, the search index and the list of real names
Document search runs hereFinds the passages a question needs
Names become placeholdersSarah Collins becomes [PERSON_1] before anything is sent

AI provider

Claude, GPT, Gemini or Mistral, under your firm’s own business account.

Sees placeholders only

Vaultin (us)

Receives nothing

The answer comes back with placeholders, and the real names are put back on your computer before you read it.

Every form of a name

One person, one placeholder, however they are written

WrittenSentComes back as
Priya K. Natarajan[PERSON_1]Priya K. Natarajan
Hi PriyaHi [PERSON_1.first]Hi Priya
Ms NatarajanMs [PERSON_1.last]Ms Natarajan
P. Natarajan[PERSON_1.initial_last]P. Natarajan
Natarajan, Priya[PERSON_1.last_first]Natarajan, Priya

Tone survives

An email to “Priya” comes back to Priya, and a letter to “Ms Natarajan” stays formal.

Unsure? It asks

If Priya and Pradeep Natarajan both exist, “P. Natarajan” gets a “Which one?” question. No guessing.

You can undo a link

“Not the same person” in the Dictionary gives a name its own placeholder again.

Ask your documents

Questions about a client’s files, answered with sources

How much notice does Northgate need to end the contract?

Northgate Builders Ltd must give 90 days’ written notice Document 2, p. 14. It can end the contract at once if an invoice is unpaid for 60 days Document 2, p. 15.

Illustrative example

Add files or link a folder

Files in a linked folder are read where they are. The originals are never changed.

Search by keyword and by meaning

A question about “ending the contract” also finds the termination clause.

Answers name their source

Each point names the document and page, so it can be checked.

1 · Your computer

You ask

A question in a client’s workspace, in plain words.

2 · Your computer

Search finds the passages

By keyword and by meaning, in that workspace’s documents only.

3 · Your computer

Names become placeholders

In the passages and the question. File names are never sent, only “Document 2, page 14”.

4 · AI provider

The AI answers

From placeholders only. Real names are put back before you read it.

Stays on your computer: the files, their names and the search index. Deleting a document removes it from the index too.

Your client data never reaches us.

It stays on your computer, encrypted, in a file only your firm can open: chats, documents and their search index alike. We run no server that could see it.

If you sync it between machines, you use storage you already have, such as OneDrive or a shared drive, and it is encrypted before it goes there.

Check it yourself

Four tests, a few minutes each

See what the AI receives

Flip any conversation to the provider’s view: placeholders, no names, documents by number only.

Read the log

Every request that left your computer, with the full text as sent. Export it for a partner or an auditor.

Go offline

Disconnect the internet: all history and documents are still there, and searchable.

Watch the network

Your client work goes to one place: the AI provider you chose. Never to us. Signing in only checks your licence.

Our commitment that we do not collect, receive or store client content is written into our terms of use.

How your firm could use it

Work that names a client, done faster

Law firms

  • Find a clause across a matter’s documents
  • Summarise contracts, leases and correspondence
  • First drafts of client letters and advice notes
  • Chronologies from a matter file

Accounting and tax

  • Explain a tax or VAT position to a client
  • Answer from a client’s tax authority letters
  • Draft replies to those letters
  • Management letters and year-end commentary

Advisory and in-house

  • Question a set of due diligence documents
  • Board papers and summaries
  • Meeting notes into actions
  • Engagement letters and onboarding requests

A typical start: one workspace per active client or matter, its documents added or its folder linked, staff use it for drafting and research, and a partner reviews the log monthly.

Getting started

Twenty minutes on a call, no IT project

  1. Install the app on a Windows or Mac computer and sign in with your account.

  2. Create the encrypted file that holds your data, with a passphrase you choose.

  3. Connect an AI provider: a business account with Anthropic, OpenAI, Google or Mistral. We help set it up.

  4. Create a workspace per client or matter, and add its documents or link its folder.

  5. Try it on dummy data first if you prefer, then move to real work.

What you need

A Windows or Mac computer per user, and an AI provider business account.

What it costs

Free during the pilot. AI usage is billed by the provider directly, pay as you go; we help you estimate it.

The pilot

Free access for a few UK and Irish firms

  • Free for the pilot, no card, no commitment
  • Set up with you on a short call
  • A 20-minute call every two weeks for feedback
  • You shape what we build next
  • Leave any time; nothing of yours stays with us

Where the product is today

An early working version. Anonymising, name forms, client workspaces, document search, the audit log and the provider view work now. Answer quality is being measured with pilot firms; running AI on your own computer is planned.

Questions

What firms ask us first

Do you ever see our client data?

No. Chats, documents and the list of real names stay on your computer in an encrypted file. We run no server that receives them. Requests go from your computer straight to the AI provider your firm chose.

What exactly does the AI provider receive?

Your question and any document passages it needs, with names, companies, numbers, addresses and references replaced by placeholders such as [PERSON_1]. Documents are referred to by number and page, never by file name. You can see this for any conversation with the provider view.

Which AI providers can we use?

Anthropic (Claude), OpenAI (GPT), Google (Gemini) and Mistral, each through your firm’s own business account. Usage is billed by the provider directly.

How does document search work without uploading files?

Search runs on your computer, by keyword and by meaning. Only the passages a question needs are sent, after names are replaced. Files in a linked folder are read where they are and never changed.

What if two people have similar names?

Vaultin links forms of a name only when exactly one person fits. If two could, it asks you “Which one?”. You can also mark two names as “Not the same person” at any time.

Does it work offline?

Your history and documents, including search, are available offline. Asking the AI needs a connection to your provider.

What does it cost?

Vaultin is free during the pilot. Your AI provider bills its usage directly, pay as you go, and we help you estimate it before you start.

A 20-minute demo, on an example from your own work

Bring a typical task: a client letter, a contract to question, a set of meeting notes. Dummy data is fine. We run it live and show you the provider’s view, side by side with yours.
