AI for law firms that keeps client names out of the AI

Use Claude, ChatGPT, Gemini or Mistral on matters and client documents. Vaultin AI replaces client names on your computer before anything is sent, shows you what goes out, and keeps a record of every request.

What the SRA says

Client information needs safeguards before it goes into AI

The SRA’s warning notice on the misuse of AI (17 August 2026) says that entering confidential client information into public AI tools “will likely breach client confidentiality”, and that legal professional privilege “may be permanently waived”.

It says client information should only go into AI systems where “appropriate contractual, technical and organisational safeguards are in place to protect confidentiality”. Read the SRA notice.

Contractual

Your firm’s own AI account

Requests go straight from your computer to the provider your firm chose, under its business terms. Choose terms that rule out training on your data; we help you check them. Nothing passes through us.

Technical

Names never leave your computer

Clients, counterparties, companies, dates and references become placeholders such as [PERSON_1] before sending. Matter files stay in an encrypted vault, and the AI sees “document 1”, never a file name.

Organisational

Reviewed, ruled and recorded

Fee earners see every passage and replaced name before sending. Workspaces can be locked to EU-hosted, zero-retention providers, and every request is kept in a tamper-evident audit log a partner can check.

In practice

What solicitors use it for

Questions across a matter

“What does the contract say about liquidated damages, and is there a cap?” Answered with the clause, the page, and a link that opens the PDF at the passage.

Client letters and advice notes

First drafts that come back with the real names in place, and keep the tone: a letter to Ms Collins stays formal.

Summaries and chronologies

Leases, correspondence, witness statements and disclosure, summarised or put in date order, with sources.

Finding the right document

Search a matter folder by meaning, on your computer and offline. “Finishing late” finds the liquidated damages clause.

Scanned bundles

Scanned PDFs are read on your computer, so even old paper files can be searched and questioned.

One workspace per matter

Each client’s files, chats and placeholders are kept apart, so work for one client never draws on another’s documents.

Before sending: 3 passages from the JCT Building Contract will be sent with this message. Each shows its document and page, and the names replaced in it, such as Northgate Builders Ltd as [ORG_1], each with a Don’t replace button.

Before anything is sent: the passages going with a question about a building contract, and every name replaced in them.

Straight answers

What Vaultin AI does, and doesn’t, do for confidentiality

It keeps identities out of the AI

The provider sees placeholders, not who your client is. Surrounding facts can still say a lot, so you see every passage before it is sent, and can switch any conversation to the provider’s view afterwards.

It keeps processing where you choose

Lock a matter’s workspace to EU-hosted providers your firm has a zero-retention agreement with; anything else is refused and logged. On the fully managed plan, the AI runs on AWS in the UK for UK firms and in the EU for EU firms, and nothing is stored.

It doesn’t check the law for you

Answers come from the AI and can be wrong. Every point links to its source so it can be checked before it reaches a client or a court.
